Privacy Policy

This Privacy Policy explains how BrokerWise collects, uses, stores, shares, and protects information when you visit our website, create an account, use the member workspace, upload documents, use AI tools, submit support requests, or purchase a subscription.

1. Overview

BrokerWise is an AI-powered operations platform for real estate brokerages, teams, agents, staff, administrators, and related business users. The platform helps users manage agent support, brokerage knowledge, documents, PDFs, contracts, policy questions, internal support tickets, admin oversight, usage, billing, and team operations.

This Privacy Policy applies to information collected through broker-wise.com, the BrokerWise member workspace, support features, billing features, AI tools, document tools, and related services.

2. Information we collect

We may collect the following types of information:

  • Account information: name, email address, password credentials, company name, brokerage name, role, account status, profile settings, and login activity.
  • Workspace information: team members, user roles, seat assignments, permissions, workspace settings, support records, usage records, storage records, and admin actions.
  • Uploaded content: PDFs, contracts, policies, SOPs, onboarding documents, office notes, transaction checklists, support notes, internal guidance, and other brokerage materials submitted to the platform.
  • AI interaction information: prompts, questions, generated responses, document references, source context, workflow outputs, summaries, draft replies, and related usage logs.
  • Support information: support tickets, request details, ticket status, ticket priority, admin notes, staff replies, attachments, and communication records.
  • Billing information: selected plan, subscription status, invoices, payment processor customer IDs, billing email, billing history, tax-related records, and payment status.
  • Technical information: IP address, browser type, device type, operating system, referral source, pages viewed, approximate region, session information, error logs, security logs, and performance information.

3. Payment processing

BrokerWise may use third-party payment processors, including Stripe, to process payments, subscriptions, invoices, taxes, fraud checks, and billing-related activity. When payment is handled through Stripe, payment card details are processed by Stripe under its own terms, privacy policy, and security controls.

BrokerWise may store billing records such as plan type, subscription status, invoice references, payment processor IDs, billing email, and payment status. BrokerWise does not need to store full credit card numbers when payments are handled by Stripe.

4. How we use information

We use information to operate and improve BrokerWise, including to:

  • Create, authenticate, secure, and manage accounts.
  • Provide the member workspace, dashboard, support tools, document tools, and AI features.
  • Process uploaded documents for knowledge search, summaries, question answering, and workflow support.
  • Generate AI-assisted answers, document summaries, draft responses, support notes, and operational records.
  • Route and manage support tickets, internal requests, and staff replies.
  • Manage team access, roles, permissions, account status, and admin oversight.
  • Track usage, credits, storage, subscription limits, and workspace activity.
  • Process subscriptions, invoices, billing events, payment status, and plan changes.
  • Monitor platform reliability, security, fraud risk, unauthorized access, and abuse.
  • Comply with legal, tax, accounting, regulatory, fraud prevention, and business obligations.

5. AI processing and document knowledge

BrokerWise may process uploaded documents and workspace content to provide AI search, retrieval, summaries, policy guidance, source-aware answers, workflow records, and support routing. This may include indexing documents, extracting text, storing document references, and using relevant content as context for AI responses.

AI responses may be inaccurate, incomplete, outdated, or unsuitable for a specific transaction, jurisdiction, client, listing, brokerage policy, or compliance requirement. Users are responsible for reviewing AI output before relying on it or sharing it.

6. Customer responsibility for submitted data

You are responsible for ensuring that you have the right to upload, process, and use any documents, client information, transaction information, staff records, brokerage files, policies, notes, or other materials submitted to BrokerWise.

You should not submit sensitive personal information unless you have authority, a valid business need, and appropriate safeguards in place.

7. How we share information

We do not sell brokerage workspace content. We may share information with service providers and vendors that help us operate BrokerWise, including hosting providers, storage providers, email providers, payment processors, analytics providers, security tools, support systems, and AI infrastructure providers.

We may also disclose information when needed to:

  • Comply with law, legal process, court orders, subpoenas, or government requests.
  • Protect BrokerWise, our users, customers, third parties, or the public.
  • Investigate or prevent fraud, abuse, security incidents, unauthorized access, or platform misuse.
  • Enforce our Terms of Service, agreements, billing rights, and platform rules.
  • Complete or evaluate a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction.

8. Cookies, local storage, and analytics

BrokerWise may use cookies, local storage, session storage, log files, and similar technologies to operate the website and workspace, remember preferences, secure sessions, understand traffic, measure performance, improve product quality, and protect against abuse.

Your browser may allow you to block or delete cookies. Some features may not work correctly if cookies or local storage are disabled.

9. Data retention

We retain information for as long as needed to provide BrokerWise, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, and support operations. Retention periods may vary depending on account status, subscription status, type of data, legal requirements, and operational needs.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, disclosure, alteration, or destruction. No internet-based service can guarantee complete security.

You are responsible for using strong passwords, protecting account credentials, limiting user permissions, reviewing access regularly, and notifying us if you suspect unauthorized access.

11. Regional availability

BrokerWise is currently intended for users and organizations located in the United States, Canada, and the United Kingdom. We may limit access outside supported regions as part of our initial launch controls, compliance process, fraud prevention, or operational rollout.

12. International data processing

Information may be processed and stored in locations where BrokerWise, its service providers, or its infrastructure providers operate. Data protection laws may differ from the laws in your location. By using BrokerWise, you acknowledge that information may be processed as needed to provide the service.

13. Your privacy choices and rights

Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of personal information. You may also have the right to withdraw consent where processing is based on consent.

To make a request, use the contact or support options available on broker-wise.com. We may need to verify your identity, authority, account ownership, or brokerage relationship before completing a request.

14. Account deletion and workspace content

If an account or workspace is deleted, we may remove or restrict access to associated content according to our retention practices, legal obligations, backup cycles, fraud prevention needs, and business record requirements. Some records may remain where required for billing, tax, legal, security, or dispute purposes.

15. Children

BrokerWise is intended for business users and is not directed to children. We do not knowingly collect personal information from children.

16. Third-party links and services

BrokerWise may link to or integrate with third-party websites, tools, or services. Third-party services are governed by their own terms, privacy policies, security controls, and practices. We are not responsible for third-party websites, services, or policies.

17. Business transfers

If BrokerWise is involved in a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, or similar transaction, information may be transferred or disclosed as part of that transaction, subject to applicable law and appropriate protections.

18. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The effective date above reflects the latest version. Continued use of BrokerWise after updates means the updated policy applies.
